Personal Information

At minimum we need to have basic personal information from you this will include your name, address, telephone number and email address.  Depending on the service provided we may also require additional information such as a copy of your passport, visa, copy of utility bills and bank account details.  We will only collect the information required to conduct our business with you.

Third Parties

Usually we will have received this data directly from you.  However, we may also receive personal data about you from others, such as from the other party to a transaction you are engaged in or from joint agents or solicitors.  Family members also sometimes provide information about each other.

We may collect information about you from Third Parties such as credit referencing companies or through electronic Anti Money Laundering checks or the Land Registry.

Purposes for Which We Process Your Personal Data

As previously stated, the data provided is processed by us in order to conduct our legitimate business with you or those of a legitimate third party and is subject to data protection law.

Should we be required to process other particularly sensitive personal information we will seek your specific consent.

Retention of Personal Data

We hold personal data for as long as it may be necessary to fulfil the legitimate purpose for which it was collected.  We retain such information for a maximum of seven years to comply with our current insurance requirements or longer if necessary to comply with our legal or regulatory obligations such as Anti Money Laundering regulations.  Thereafter any data held is destroyed.

If at any time you wish your personal details to be amended or if appropriate removed from our records or you no longer wish to receive certain information please contact us.

Disclosure of Personal Data

We take your privacy seriously.  We will never sell your personal data to anyone or share it with unrelated third parties and we take precautions to keep it secure.  It will sometimes be a normal and necessary part of our work to pass on information to third parties in connection with the services they provide.

• We may pass on information about you to solicitors to help them proceed with a transaction in which you

   are involved.

• If you are a prospective tenant, we may pass on references about you to the landlord.

• We may inform utility companies of changes in the occupiers of a property.

• We may pass on information to surveyors or maintenance and repair contactors, in respect of property

   where we have responsibilities.

• We may need to pass on information to those who help collect outstanding accounts.

Where Your Data is Held

Our data is held securely at our office, its access is restricted to those with a legitimate business reason and in confidence. We have measures in place to ensure there is secure processing and storage of your personal data to prevent it being lost, used or accessed in an unauthorised way. Our server is located on site at Sales and Lettings Ltd, whilst backups may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It will also be processed by staff operating outside the EEA who work for us or for one of our suppliers. This includes staff engaged in, among other things, the fulfilment of your order, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing or processing. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.  The transmission of information via the internet is not completely secure. We do our best to protect your personal data, we cannot guarantee the security of your data to our site; transmission is at your own risk. Once we receive your information we will use strict procedures and security features in an attempt to prevent unauthorised access.
